MANAGEMENT MEETING MINUTES

1. APOLOGIES.

2. MINUTES OF THE MANAGEMENT MEETING HELD MONDAY 5TH OCTOBER 2020 .
The meeting agreed the Minutes to be a true representation and the Chairman signed the supplied copy.

3. MATTERS ARISING FROM THE MANAGEMENT MEETING
Property & Management
The large DFHA private car park sign has been erected. Closing note

4. CORRESPONDENCE
No correspondence.

5. PROPERTY & MAINTENANCE
Heath room has been let on a block booking for counselling. Action Joan
Plans for our proposed porch extension at the back door of the DFHA building have been received from Richard Hopkins our Architect. The views of the committee have been noted and will be returned to R&J Consultants Ltd. Ongoing

6. ADMINISTRATION
As expected working to the current restrictions.

7. FINANCIAL REPORT
Current Financial Situation :
Deposit £99,243 Current Account £ 36,660. Total £135,903
Annual Accounts are currently being audited
Significant Expenditure - > £500
Since the October meeting, apart from the normal large payments, ie wages, utilities, cleaning company etc, we spent £552 on new larger car park sign, £900 on the drawings for the extra building for reception/office, and £6,900 for yearly Barn insurances. Noted

Local Government Ombudsman’s office has advised they will make a draft decision by middle of November Mel to Update
Lone Operator Security/Mobile Phone Improvement
Last meeting it was agreed to proceed with the provision of mobile phone signals in the Barn (approx £1,000). A meeting has been organized for Monday for an engineer to view the facility, confirm that the suggested equipment will be adequate, and also to carry out a survey to advise on best location for external aerial.

Outside Security Lights (Replacement of Sodium lights with LEDs)
Having received quotations, the work has been contracted to our regular electrician for £650. Ongoing
Cleaning
The local management team for Mrs Bucket (our cleaning company) has changed, and it has been decided to give the new team a chance to see if they can improve the cleaning. A regular monthly review meeting is being organized, at which any issues can be resolved. On gong

8. SOCIAL & FUND RAISING
The Thursday speaker morning on 5th November has been cancelled due to Covid 19 restrictions.

9. FIRE &SAFETY.
All checks done.

10.WEBSITE UPDATE.

11. AOB
The DFHA will be closed from Thursday 5th November to most clubs only Government approved activities will be allowed to continue.

Condolences from the Management Committee to the family of Glenys Dawes who has recently died.

Janet Biggin Chairman of Downend & Bromley Heath Parish Council, recently received an invitation to be part of the 2020 virtual Service of Remembrance. She laid a poppy wreath at Page Park war memorial at an event filmed prior to Remembrance Sunday, following all the relevant guidance. The full event can be viewed online at the Staple Hill & District Royal British Legion Facebook page, YouTube and on their website. For residents that may not have access to the internet, DVD’s can be requested from the branch.

Because of all things Covid, a film has been made by Ian Campbell, of the Royal British Legion, which will go out on Saturday 7th November.

CHRISTMAS 2020
As the shadow of Covid emerges again D & BHPC think it's important to keep residents spirits up after such a gloomy year so they will still be having their usual large decorated Christmas tree in the centre of Downend and silvery lights in the trees along the High Street. FYI

FISHPONDS AND DOWNEND ROTERY CLUB.
Again this year are planting 4000 purple crocus bulbs around trees on the DFHA site.
Purple for Polio
Rotary striving to eradicate Polio throughout the world. 
Every pound they raise is matched by Bill Gates foundation to help.
The Purple is significant as it's the colour dye they use on children's fingers after they have been vaccinated. 
By all accounts they have all most done it apart from a few hot spots around the world.
