2. MINUTES OF THE MANAGEMENT MEETING HELD MONDAY 2ND NOVEMBER 2020 .
The meeting agreed the Minutes to be a true representation and the Chairman signed the supplied copy.
3. MATTERS ARISING FROM THE MANAGEMENT MEETING
Property & Management
Outside security lights finished with new LEDs closing note
Letter from Friends of Lincombe Barn Park and Woods requesting a site on a flat area on our car park, on which to place a shipping container to store their equipment. This was declined as we are having an extension which will take some parking spaces, of which we have few. Declined MC
5. PROPERTY & MANAGEMENT
Regular checks of the building are taking place during the week by Joan.
Emma Anderson will be joining the team to bring our office more electronically up to date.
The Office will be contacting team leaders with any opening dates as soon as MC know.
7. FINANCIAL REPORT
Current Financial Situation :
Current Account £ 32,588
This is a drop of just over £2K from last month, but since our income has dropped whilst in Lockdown this is not unexpected.
Significant Expenditure - > £500
Since the February report, apart from the normal large payments, i.e. wages, utilities, etc, we have not had any significant expenditure Mel to update
Mobile Phone Improvement
Following from last month’s report, with very little progress being made, Mel issued the formal “if nothing is resolved within the next four weeks we may invoke the small claims procedure”.
This did generate some interest – the installation/survey company responded saying they could not be sued as they had done nothing wrong, and the supply company asked for a video of the LED lights on the booster to check it is working OK. This was supplied to them on Monday 22nd Feb. Ongoing Mel
The local management team for Mrs Bucket (our cleaning company) has changed, and whilst Joan has not been very satisfied with the historic activity, it has been decided to give the new team a chance to see if they can improve the cleaning. A regular monthly review meeting is being organized, at which any issues can be resolved. (Currently on hold) Closing Note
The Annual Accounts for 2019/2020 have been sent to the Charity Commission. Closing note

9. FIRE & SAFETY
The office is dealing with an Avon Fire and Rescue Audit. Ongoing Joan
10. WEBSITE UPDATE.
If anyone would like to add anything to the website please contact Bruce. Reopening the DFHA according to Government rules, watch our website. Thanks to Bruce for organizing the Zoom meeting today.
Planning permission for our new Office have been passed by SGC, next stage Landlord SGC permission ongoing. Building plans submitted in March. The following stage Wessex Water.
Fishponds and Downend Rotary Club Purple (for Polio) crocus are up. Please take a look when passing.
Downend Parish Council are very near to sending their plans for the new pavilion in KGV Park, to SGC, so do look out for our Parish page in the next Downend Voice, which gives an overview of the build.
Also do go to the Parish website where all the questions asked by residents about the pavilion have
been answered, from the public consultation we generated.
Parish Annual Assembly - will be held as a Zoom meeting on Thursday 15th April at 7.30pm.
