MANAGEMENT MEETING MINUTES
Monday 4th October 2021

2. MINUTES OF THE MANAGEMENT MEETING HELD MONDAY 6TH SEPTEMBER 2021
The meeting agreed the Minutes to be a true representation and the Chairman signed the supplied copy.

3. MATTERS ARISING FROM THE MANAGEMENT MEETING
Property & Management
Emma Anderson will be leaving DFHA on the 19th October.
There will be a Callout register with names and contact numbers of Management Committee members started in November.

5. PROPERTY & MANAGEMENT
Several of our Volunteers have returned to work in the Office. Training will be given. Action Zoe
The front door of DFHA will be painted a pale green to try and brighten up the main entrance. Action Zoe
Looking at installing new Fire Doors on the back door. Action Christine

6. ADMINISTRATION
The Office will be manned sometime every day. When unattended there will be a sign on the door advising of opening times. Action Zoe

7. FINANCIAL REPORT

Current Financial Situation :
Deposit £100,142
Current Account £ 36,176
Total £136,318.
Increase this month has been due to enrolments/club fees income and lack of serious expenditure.

Staff changes, affecting finance: Zoe is working full time, Joan has retired and Emma is leaving on 19th October. A new addition to the payroll is Jane Faithful who is working alongside Zoe.

Significant Expenditure - > £500

Since the September report, apart from the normal large payments, i.e. wages, cleaning, utilities, etc, there has been no significant expenditure. Mel to update monthly
Mobile Phone Improvement (County Court Claim for £2,000)

On 5th July 2021 warrants were issued instructing local courts to arrange bailiff visits to recover the monies agreed by the courts.
A further request for information in August has resulted in a note from the courts, dated 7th September, stating: “The bailiffs have visited the addresses given on various dates and times, but have been unable to make contact with the debtor. The bailiffs are continuing to attempt to execute the warrants” Mel to update

7. SOCIAL & FUND RAISING
Christmas Market will be held on Saturday November 13th 11 to 3pm Action Merle
Speaker mornings will be starting Thursday 7th October Guilty Secrets Action Christine Broadway

9. FIRE & SAFETY
Vision are to be contacted so that the Office staff can be trained with the Fire and Safety equipment. Action Zoe

10. WEBSITE UPDATE.

11. AOB
The date of the next AGM Friday 19th November 2021 at 2 pm. Tea and biscuits will be provided.

CCTV – Western Power have completed their works and power to the CCTV system that has been installed in the High Street. The contractor has also fitted the cameras to the posts and will be shortly installing the transmission equipment. Delays are being experienced with Virgin Media installing the fibre circuit to allow the cameras to feed back to the Bristol Operations Centre.
Downend Library will be closed for two weeks before long, enabling a second toilet to be installed for public use
Downend & Bromley Heath Parish Council has two vacancies – so please contact Angela Hocking, Parish Clerk for more details if you or anyone you know, would be interested.
Firework Display, KGV Park – The Downend Round Table will be holding their Annual Firework Display Friday 5th November.
Bromley Heath Pavilion – A Planning Application has been sent to SGC, for refurbishing said pavilion.
Bromley Heath Park – A Basketball Hoop will be installed soon, taking the place of the Table Tennis Table, which was underused, plus had been vandalised.
Remembrance Sunday, 14th November – will take place in Page Park. Cllr. Ian Boulton has generated a ‘Just Giving’ page, to raise money for the road closure, so the usual procession can take place.
Calendar of Page Park – there are various shops and businesses who have them for sale in Staple Hill and Downend, plus on Saturday 9th October, volunteers will be selling them in Page Park, from 10 – 3pm.
Kingswood Community Transport – they have now refreshed their website, so that service users can book their seats online.
Christmas Lights in Downend, being switched on at 4pm, Friday 26th November.
  D&BHPC are hoping to engage the Salvation Army to play prior to the tree being lit.
