MANAGEMENT MEETING MINUTES
Monday 13th June 2022

1. APOLOGIES

2. MINUTES OF THE MANAGEMENT MEETING HELD MONDAY 9TH MAY 2022
The meeting agreed the Minutes to be a true representation and the Chairman signed the supplied copy.

3. MATTERS ARISING FROM THE MANAGEMENT MEETING
Property & Management
A.M. BUILDING will start insulation work on the lower panels of the windows in Jubilee and the Kitchen during September 2022. Action Zoe

4. CORRESPONDENCE
A letter from Star Legal solicitors for Anne Thompson a bequest £200 to DFHA. The committee thought that Gardening equipment will be bought and a small tree with a name plaque. Action Christine /Philip

5. PROPERTY & MANAGEMENT
There will be an outside notice board mounted on the wall to the side of the Playgroup back entrance. All information regarding clubs/activities/prospectus will be displayed. We hope that this will show the wide range of work that goes on at the Lincombe Barn to all people passing by who do not enter the Building. Action Maintenance/ Office
The Maintenance Review is on display on the notice boards x 2 inside the Barn. Action Christine
The office strip light has been repaired.
Two new chairs are required in the reception area as the pair that are there are too low and difficult to stand up from the sitting position. Action Zoe/Martin

6. ADMINISTRATION
Staff training in progress. First Aid courses to be arranged. Food hygiene courses to be looked into. Action Zoe
Apple Blossom Children’s school will return in September with a new leader and extra hours. The group has asked to possibly redesign the outside area of the playgroup and add screening to the surrounding fence. Agreed by Management Committee
The Office has contacted Westbury Tech in Staple Hill re new computers for the building. Action Zoe/Martin
One of the free standing notice boards has been lent to a private hirer. Action Martin

7. FINANCIAL REPORT
Current Financial Situation (End May) :

Significant Expenditure - > £500
Apart from salaries, utilities and cleaning, there was only one expenditure in excess of £500 – Turners coach hire (S&FR) for £530 Mel to Update monthly
Mileage Allowances
There was no discussion on this matter. Final thoughts at next Management Executive meeting. Ongoing Management Committee .
Gas and Electric Costs
It appears that even though we are a charity, our electricity and gas suppliers have been charging us VAT at 20%, whereas it should be at 5%. I have applied for a refund to both our companies.
BrytEnergy (who we joined in Oct 21) have credited us with over £700. (Credit against future bills, not cash in hand)
SSE who are our ongoing Gas supplier, and were our electricity supplier (up to Oct 21), have still to respond, but I would anticipate a refund of quite a few thousand pounds! Mel to Update

8. SOCIAL & FUND RAISING
The Choir have a Summer Concert on 25th June.
Speaker mornings have finished, and will restart in October.
The trip to Sudeley Castle has been cancelled and refunds given. Action Merle
Christmas Market/Fair. Unless we have volunteers to run this event it will not take place.

9. FIRE & SAFETY
All tests done and training given to the Office staff, Health and Safety documents ongoing. Action Zoe

10. WEBSITE UPDATE
Up to date. The Choir concert is advertised. Action Bruce/Louise

11. AOB
The event in Page Park, Saturday 4th June, celebrating the Platinum Jubilee for the Queen, was attended by thousands of people enjoying being ‘out and about’.
The Community, History & Art Project, (CHAP) were there and had a fabulous day, with many people very interested in the Downend of yesteryear, especially as there were a set of stocks kindly made for the occasion by the Men in Sheds, in Downend. The Green Dragon, back over two hundred years ago was the Downend Assizes and in those days had a set of stocks and a whipping post outside, to meter out whatever was appropriate for the crime committed. Children were especially fascinated and were happy to have a photo taken in them, although many of them didn’t know at first what they were...
There were many photos of Downend in the old days, which were of great interest to people.
Sunday 10th June, there was a service to mark the 40th Anniversary of the Falklands War, which was very nice with the Salvation Army Band providing the wonderful music. Janet was representing Downend & Bromley Heath Parish Council. Information Cllr Janet Biggin

The Choir at the Barn. Due to falling numbers and the cost of a conductor and pianist and other choirs starting within the area, this club/ group are finding it difficult to continue. They are having their Summer Concert on Saturday 25th June and a week later the Choir will have their AGM. The management Committee will await their decision on their future. Ongoing

It has come to the MC notice that the plastic cover/chain/and lock for the piano was purchased privately so the cost will be paid to the individual. Action Mel

The Remembrance Plaque on the outside wall for the Britannia Crash in the woods opposite the DFHA building in 1957 needs professional restoration. Action Janet
