MANAGEMENT MEETING MINUTES
MONDAY 8TH SEPTEMBER 2025

1. APOLOGIES

2. MINUTES OF THE MANAGEMENT MEETING HELD MONDAY 7TH JULY 2025.
The meeting agreed the Minutes to be a true representation, and the Chairman signed the supplied copy.
3. REPORT ON IT.
Martin reported that there are no current issues Monthly Update: Martin.
4. MATTERS ARISING FROM THE MANAGEMENT MEETING OF 7TH JULY (NOT COVERED ELSEWHERE).
.Kindergarten group agreed to paying £300 towards the cost of a new sink. Action Zoe.
5. CORRESPONDENCE
None.
6. PROPERTY & MANAGEMENT
The Maintenance Review document was issued to the attendees and discussed. Copies are available on the notice boards. This review document identifies all the outstanding actions needed. However, the following are highlighted for inclusion in these minutes.
Hygiene Certificates run out 30/11/2025 – Organise On-Line course Action: Zoe
Washing machine drier has failed – try for small part repair, or try to dry in rooms Action: Zoe
Jubilee Hall floor panels need replacing Action: Zoe
Hall partition does not lock – query safe to use unlocked? Action: Mel
Stab Kit – Apply for grant and will parts need periodic replacement Action: Mel
PAT testing ongoing Action: Zoe/Martin
Chair ferrules – rubber feet on chairs Action: Martin
7. FIRE & SAFETY
Fire Alarm tests weekly. Action Zoe
Monthly light test (Zoe can only do the remote control as the others are done by DS Security.)
Staff Training for Fire Alarm tests. Ongoing Action Zoe
Evacuation tests for the Kindergarten to be arranged. Action Zoe

9. FINANCIAL REPORT
Current Financial Situation :
Deposit. £40,000
Current Account £26,675
Total £66,675
Significant Expenditure - > £500 (during August)
Apart from administration (monthly average £4,000), utilities (monthly average £1,000) and cleaning (monthly average £1,850), there were two expenditures in excess of £500:
DJH Plumbing – Kindergarten new sink/plumbing £780 (School have agreed to fund £300)
Accordial – servicing of Jubilee Hall partition (£738) – issues identified with the locking mechanism
Draft copy of Annual Accounts circulated to Management Committee.
10. SOCIAL & FUND RAISING
Spring 2025
Speaker Morning
Autumn season:.
2nd October Tim Mayo will give a talk entitled A Pantomime Dame.
4th December Ben and friends on the Ukulele
Speaker Mornings entrance fees increased to £3.50 in September.
A Christmas Meal will be held Tuesday 9th December at DFHA with AHM Catering £20 for two courses.
Office bookings nearer the time. BYO drinks.
A Tea Dance led by Geoff Ward has been organised for the 17th October. Charges £5pp. Refreshments extra.
Christmas Market – Saturday November 15th All Actions S&FR Committee.

Up and running. Recent Barn News has been loaded to the web.
12. AOB
It is with regret that Julia Kennett announced her retirement from the Management Committee due to personal commitments. The Management Committee thanked Julia for her help during her tenure.
Adult Walk Around Downend - this is being hosted by Community, History & Art
Project, (CHAP), Saturday 20th September, meeting at the Scout War Memorial,
10am. There are two routes, a shorter walk around the ‘top’ of Downend, which
will be easier for people with any mobility issues and a longer walk, taking in a
few hills, taking a little longer, about an hour. Maximum 20 people per group,
available from Helen Rana at: helenrana@yahoo.co.uk There is more information
