2 Minutes of the Management Meeting held Monday 2nd March 2026.
The meeting agreed the Minutes to be a true representation, and the Chairman signed the supplied copy.
3 Report on IT.
Issues with WIFI and MS Edge – May have to call Smooth IT to resolve
4 Monthly Update: Martin.
Matters arising from the Management Meeting of 2nd March 2026.
It was agreed that the matters arising were all going to be covered in the body of the meeting
5. Correspondence
Photos received from Dr Judith Langfield – Archived at her request
Pam Gooding Stepping down as leader of Natural History with the club folding
6. PROPERTY & MANAGEMENT
The Maintenance Review document was issued to the attendees and discussed. Copies are available on the notice boards. This review document identifies all the outstanding actions needed. However, the following are highlighted for inclusion in these minutes
Emergency roof repair competed above Cleeve Annex – some painting will be required to ceiling
Fire door installation is now complete.
Waiting for fire door quote for doors opposite maintenance.
Service due by DS Securities for Fire Alarm system smoke detector set for 26/05 new battery to be fitted to alarm system. (also received price increase of 5%)
Audit carried out by JG Treasure (price increase also received 9.2%)
Jubilee Hall floor replacement on hold.
Bristol Sounds called to fix issue with AMP box.
Plumber call to fix following issues :-
Leak in ladies toilet
Faulty tap in men’s
Kitchen mixer dripping
Outside tap in play area ceased
7. Fire & Safety
Fire Alarm tests weekly. Action Zoe
Staff Training for Fire Alarm tests. Ongoing Action Zoe
8. Administration
Barn New has been updated and due to be published
10 clubs contacted 4 responded
18 private hires contacted 9 responded
Staff Photos to be updated and posted at office end Action Bruce
AGM pencilled in for 9/10/26
Interest from Jenny Brough to attend management meeting
9. Financial Report
Current Financial Situation as of 09/02/26:
Deposit £30,000 -
Current Account £41,069
Total £71,069.00
This represents decrease of approx. £3000 during the month
Significant Expenditure - > £250 (during December)
We have also committed £2,500 to the fire doors and a further £7,900 for emergency roof repair.
It was agreed that we should approach the lottery to fund other projects as the previous process took approx. 3 months.
The Barn will have a 20k plus increased income 26/27 from new private hirers.
10. Social & Fund Raising
Christmas Fair booked for 21/11/26
Christmas meal date to be confirmed
Trips – Janet Biggin to approach Kingswood Community Transport as to what they offer
Tea dance booked for 08/05/26 – Dave Gillard to provide music etc.
Possible Quiz date to be confirmed All Actions S&FR Committee
11. Website Update
Up and running. No known issues Action Bruce.

Mel’s health continues to improve and will hopefully be home shortly
Issues with Heart 2 Heart clients leaving cash for payment – Zoe to action
Agreed to finance pianist for the Cleeve Singers.
Discussions of DFHA moving forward & MGT committee involvement Eileen, Janet & Carole to discuss in separate meetings.
