MANAGEMENT MEETING MINUTES
MONDAY 2ND MARCH 2026

3 Minutes of the Management Meeting held Monday 2nd February 2026.
The meeting agreed the Minutes to be a true representation, and the Chairman signed the supplied copy.
4 Report on IT. No Issues reported by Martin
Matters arising from the Management Meeting of 2nd February 2026.
It was agreed that the matters arising were all going to be covered in the body of the meeting.
5. Correspondence - none received
6. PROPERTY & MANAGEMENT
The Maintenance Review document was issued to the attendees and discussed. Copies are available on the notice boards. This review document identifies all the outstanding actions needed. However, the following are highlighted for inclusion in these minutes.
4 of the 6 Fire Doors have been installed. There will be a small amount of remedial work to be carried out once installation is complete.
Fire alarm was tripped during installation due to dust - Zoe called out to reset.
Mouse droppings were reported by the Nursery. Zoe instructed the Nursery for better housekeeping of foods – The Nursery will contact and pay for their Pest Control.
Washer dryer on hold.
7. Fire & Safety
Fire Alarm tests weekly. Action Zoe
Staff Training for Fire Alarm tests. Ongoing Action Zoe
Evacuation tests for the kindergarten in progress. Action Zoe
Main Batteries to Alarm System will require replacement within six months Action Zoe
8. Administration
Regular Hires to be contacted to request information for the Barn News Action: Zoe
Hot food serving / cooking (Pots on Floor) now banned cold buffet only.
Merle has been incapacitated so Zoe will take over catering (Tea / coffee / Chocolate etc.) from Bookers
Only Zoe and Martin on call out list (Mel and Bruce removed).
Banking of cash etc. is now done by the office weekly.
All letters for clubs issued
9. Financial Report - unable to give full update due to illness.
Current Financial Situation as of 02/03/26:
Deposit £30,000 -
Current Account £41,767.51 (including £5,500 received from the Lottery)
Total £71,767.51
Significant Expenditure - > £250 (during December)
None
10. Social & Fund Raising
Will review Tea Dance and trips during next meeting (13th March). Actions S&FR Committee
11. Website Update
Up and running. No known issues. Action Bruce.
Bruce to supply password login details to be kept in Safe in case of illness.
12. AOB
Discussed ad for Treasurer. Depending on feedback ad may have to be altered and resubmitted.
Eileen has sent a strongly worded email to REFORM complaining about their leaflet posted to Downend
residences. It was made clear DFHA has no connection to REFORM.
